The Position
The ideal candidate for this role will be highly organized, detail-oriented, proactive, and exercise common sense and care. The ability to exercise discretion when handling confidential and sensitive information is a must. The legal administrative assistant will play a crucial role in ensuring the smooth and efficient operation of K&S and should be a consummate professional, whether working with other members of the firm, vendors, or clients. This is a great opportunity for someone to be involved in a small and growing firm and to work in a fast-paced environment with a focus on sophisticated big-law matters in a small collegial atmosphere.
Duties & Responsibilities
Support two partners, anticipating their needs and overseeing and coordinating day-to-day administrative tasks, including answering phones, managing schedules, appointments, and meetings as required, ensuring timely reminders and logistics
Perform general office tasks, including filing, photocopying, scanning, mailing, and managing documents
Responsible for travel management (booking flights, accommodations, ground transportation, itineraries, etc.)
Assist with time entry and bookkeeping tasks using Clio and QuickBooks software
Opportunity to support legal activities, including the preparation of legal documents, and case management
Maintain accurate and up-to-date records, ensuring adherence to retention and confidentiality requirements
Draft and proofread emails, letters, and other communications for accuracy and clarity, maintaining a professional and respectful tone
Monitor and maintain office supplies, equipment, and technology to facilitate efficient operations and ensure shared spaces are neat, organized, and presentable
Prepare and process office-related documentation, such as contracts, agreements, and reports
Manage firm resources responsibly, such as creating and tracking office budget/expenses, and be responsible for the timely payment of expenses
Ensure the neatness of reception areas and conference rooms

Skills & Qualifications
Advanced working knowledge of Microsoft Office Suite (Word, Excel, SharePoint, PowerPoint, Outlook, etc.)
Experience working in a corporate environment with prior law firm experience as an administrative assistant is a must
Familiarity and ease with technology; ability to utilize computer skills, including word processing, data entry, email correspondence, etc., with ease and accuracy
Excellent organizational skills
Ability to multitask with attention to detail
Ability to work in a fast-paced environment with varying levels of urgency and deadlines
Ability to work with minimal supervision and a general can-do attitude
Excellent verbal communication and interpersonal skills
Ability to operate as a team player
Motivated and curious mentality
Ability to handle sensitive information with discretion and stressful situations with poise
Work Environment
On-site position located in Bryant, New York
Compensation
Position offers an annual salary of $75,000 - $100,000, with additional benefits
Preferred Experience
A bachelor’s degree is highly preferred
Experience in a mid-size or large law firm
Experience in commercial litigation practice group
